People, departments & roles

Invite teammates, see everyone in your team, and manage their roles and departments.

What it does

The People page is your team directory. It shows everyone in your organisation with their role and department, and lets owners and admins invite new people. Invited teammates receive a pending invitation; they join your team once they accept it (they can also decline), and you're notified either way. See the invitations guide for the invitee's side.

Where to find it

Click People in the top navigation, or go to /dashboard/people.

Step by step

Invite a teammate

  1. On the People page, click Invite people (visible to owners and admins).
  2. Enter their email and choose a role:
  • Admin — manage settings and people.
  • Member — a full collaborator.
  • Guest — limited access.
  1. Click Send invite. They'll get an email and a pending invitation inside Threadwork; they join your team when they accept it (signing in with that address shows them the invitation to accept or decline).

Find a teammate

  • Type in the Search people box at the top of the directory to filter by name or email; it composes

with the role and department filters.

Filter the directory by role or department

  1. A row of role chips (All roles, plus Owner / Admin / Member / Guest for the roles present, each

with a head-count) sits above the directory — click one to show only that role.

  1. Below it, a row of department chips (Everyone, each department with its colour dot and a

head-count, and Unassigned if anyone lacks a department) narrows by department.

  1. The two compose: pick a role and a department to see just that slice. Click an active chip again (or

All roles / Everyone) to clear it.

Organise people into departments

  1. The directory is grouped by department, with an Unassigned group for anyone without one.
  2. Owners/admins: add a department with the New department form at the bottom (name + colour).
  3. To move someone, pick a department from the small dropdown on their card (or No department to clear it).
  4. Delete a department from the 🗑 on its heading — its people simply become unassigned.

Change someone's role (owner/admin)

  1. On a teammate's card, pick a new role from the role dropdown (Admin, Member, Guest — owners can also grant Owner).
  2. The change applies immediately. You can't change your own role here, and only an owner can change or grant the Owner role.
  3. A team must always keep at least one owner, so the last owner can't be demoted.

Transfer ownership (owner only)

  1. On another member's card, select the crown icon (Transfer ownership).
  2. Confirm. That person becomes the team's owner and you become an admin — there's one owner at a time, so you hand over full control.
  3. This is how to step back from running a team: transfer ownership first, then you can leave the team (or it can be managed by the new owner). You can't transfer to yourself.

Remove someone from the team (owner/admin)

  1. On a teammate's card, select the remove icon (the person-minus button).
  2. Confirm in the dialog. They lose access to this team and drop off the directory; their threads, posts and logged time stay, and you can invite them again later.
  3. You can't remove yourself, only an owner can remove another owner, and the team's last owner can't be removed. If the person belongs to other teams, they simply switch to one of those.

What each screen shows

  • Page title — carries a head-count badge of everyone in your team.
  • People grid — a card per person with their avatar, name, job title, role badge and department. Anyone

with open assigned threads also shows an N open tasks badge, so you can read each teammate's current load at a glance.

  • Pending invitations — a list of outstanding invites with their assigned role.

Tips

  • Only owners and admins can invite people, manage departments or change team settings.
  • Departments (e.g. Engineering, Design) help group people and read the directory at a glance. New teams

start with a couple of example departments you can rename, delete or add to.

Troubleshooting

  • Invite didn't arrive? In development, emails are printed to the server console. In production, check your email provider configuration.
